The following tips will assist you in minimizing paper consumption when printing files from common applications on your computer.
Tips on Conserving Paper using Microsoft PowerPoint
ALWAYS print double-sided! Once you have selected to print, click on “Properties.” Click on the second tab from the right labeled, “Finishing.” In the box “Document Options,” select the box on the left of “Print on Both Sides.” Here, there is also the option of printing more than one page’s worth of information on only one sheet of paper. Click on the down arrow next to “1 page per sheet.” Several options will appear for the ability to print multiple pages on one sheet of paper.
Printing Slides — NEVER do it — no excuses
Printing Handouts — you have the option of printing 1, 2, 3, 4, 6, or 9 slides on one page
- Print 3 slides per page if all of the slides convey a broad concept that the presenter is going to elaborate on and discuss in-depth. This feature prints 3 slides down the left half of the page with 4 corresponding lines per slide to take notes on the right hand side of the page.
- Print 4 or 6 slides if you would like to get a visual synopsis of the entire presentation and take a decent amount of notes per slide.
- Print 9 slides if you would like to get a visual synopsis of the entire presentation and take a few accessional notes along the sides. All of the slides explain everything that the presenter is going to discuss.
Printing Notes Pages — This prints one slide on the top half of the page and leaves the bottom half free for notes. Not recommended.
*Printing Outline View* — to discover what the outline view looks like, exit the print option window. On the left hand side of the window, there is a column. At the top there are two tabs, “Outline” and “Slides.” Click on “Outline.” This will encapsulate all of the words on each slide of the presentation into an outline. This does not include any pictures or diagrams in the presentation. It only prints the outline on the left side of the page, leaving the right to take as many notes as needed. A handy tip for this is to select all in the outline, copy, and paste it into Microsoft Word, to get rid of any unnecessary or extra spacing, titles or information. In this circumstance, print from Word not from PowerPoint.
If you choose to print the slides, and you know certain ones aren’t important or that you would not like to include them in your print outs you can do that! In the box labeled “Print Range,” select the bubble labeled “Slides” and write in the slides that you would like printed with a comma and a space afterward (ex. “Slides: 1, 3, 6, 7”). Do not forget to apply the above options after you select what slides you want printed (still printing multiple slides per page!).

There is also the option of printing more than one page’s worth of information on only one sheet of paper. In the box labels “zoom” in the print option window, type in how many sheets you would like printed one page in the box to the left of “pages per sheet.” Several options will appear for the ability to print multiple pages on one sheet of paper.
If you know that you only need to print certain pages (revised pages) while others aren’t important, haven’t been changed, or you would not like to include them in your print outs, you can do that! In the box labeled “Print Range,” select the bubble labeled “Pages” and type in the pages that you would like printed with a comma and space afterward (ex. “Pages: 1, 3, 6, 7”).

Wherever possible, use the Page Setup utility to define a range that accommodates all of the information on one page.

In the box labeled “Print Range,” select the bubble labeled “Pages from” and type in the first page and the last page that you would like printed. Underneath is a bubble labeled “subset.” This allows you to tell the printer which particular pages you would like printed. Type in the pages that you would like printed with a comma and space afterward (ex. “Pages: 1, 3, 6)
