Recruitment for Faculty Positions

University policy requires that all full-time faculty positions designed to extend beyond one semester and all part-time positions which are expected to extend beyond one academic year must be opened to recruitment when an opening occurs or is anticipated. Prior to the initiation of recruitment for any full time position, either new or replacement, authorization must be requested and obtained. This is accomplished through the submission of a Search Proposal Form (PDF) for faculty.

The Search Proposal is designed to:

  1. Document the need to create or retain a particular position, and to set forth the budgetary resources that are available or that will be required to support the position, and
  2. Describe the process that will be followed in seeking candidates for the position if recruitment is authorized, with particular emphasis on steps that will be taken to comply with the University's affirmative action policy of attracting minorities and women into the pool of candidates.

All information, except the Applicant Flow Identification Number, must be completed. After signature by the department head and Dean, the form is submitted to the Affirmative Action Officer in the Provost's Office.

If recruitment is authorized by the Provost, the proposal is then reviewed for compliance with the University policy of affirmative recruiting. After this review, the Affirmative Action Officer will assign the Applicant Flow Identification Number, sign the form and return it to the Dean's Office with a covering memorandum concerning affirmative action requirements and providing guidelines, minority/female availability data for the discipline, listings of any identified potential candidates, and any other available information that may be helpful to the search committee.

The Applicant Flow Identification Number shown on the approved form is then used to identify the position as one for which recruitment has been authorized and to track the applicants/candidates recruited for it. This number will be included on the Affirmative Action Report Form (PDF) for faculty which is a part of the appointment process when a candidate is selected.

Please Note: After opening the form, click on the save icon on the toolbar to download the form to your computer. Use Adobe Acrobat to open, complete, and save the form so you can go back to it. Print the completed form and obtain appropriate signatures on the printed copy. Forward the signed copy of the form, with relevant supporting materials, to the Affirmative Action Officer in the Office of the Provost.

  1. Applicant Flow Indentification Number
    Leave blank. It will be assigned by the Affirmative Action Officer in the Provost's Office.
  2. School/College - Department
    The academic unit and department name.
  3. Proposed Rank/Title
    The proposed academic rank and any administrative or other title associated with the position.
  4. Renewable or Terminal
    Check "Renewable" if the position is expected to continue beyond the initial contract period; "Terminal" if for the contract period only.
  5. Starting Date
    The proposed beginning date of appointment.
  6. Initial Contract Duration
    The proposed term of initial appointment.
  7. Application Deadline
    The date by which applications must be received, if one has been established.
  8. Part 1. Rationale for Position
    Attach memorandum to the Provost explaining why the position is needed and why the responsibilities to be assigned cannot be fulfilled by existing personnel. Include information on the intended teaching assignment (course numbers, titles), and projected enrollment; the relation of the position to the curriculum; and other duties to be assigned to the appointee. If the projected salary exceeds the budgeted amount or if it is not yet budgeted (see Part 2, below), the memorandum should include a justification of the amount and an identification of the proposed funding source.
  9. Part 2. Budget Information
    1. Indicate whether this position would be a replacement or a new position. If it is a replacement, include the name of the person being replaced, his/her budgeted salary and the account number. If it is a new position, check whether it is or is not in the budget. If it is in the budget, insert the amount budgeted and the account number.
    2. Include the salary projected for the requested position. If the position is not within an approved budget or if the projected salary exceeds the amount budgeted, specify the proposed funding source. Note that this should be fully addressed in the memorandum described in Part 1, above.
  10. Part 3. Job Description
    Summarize duties, proposed tenure status and qualifications sought. Or, if the proposed advertising copy is available and includes this information, attach it and insert "See attached." (Note that approval of recruitment for the position is required prior to its advertisement.)
  11. Part 4. Planned Recruitment Identify:
    1. The publication(s) where advertising will be placed.
    2. The professional publications/organizations/placement services that will be advised of the opening.
    3. Minority caucuses: any associations, committees, etc., within the discipline or any representing or designed to attract minority individuals within academia in general.
    4. Women's caucuses: as above, associations, committees, etc., representing women within the profession and/or academia.
    5. Veteran or handicapped caucuses: any known.
    6. Personal contacts, meetings, etc.: list professional meetings to be attended, and the names of persons within the profession who will be contacted. This should include women and minority individuals in key positions in the profession.
  12. Part 5. Membership of Search Committee
    Include the name, rank, sex and race of members. Identify person who will chair the committee. If members from other departments or from outside the University are included, cite organizational affiliation.
  13. Submitted By and Submission Approved
    Signatures of the department head and Dean with dates. After signature, submit the form to the Affirmative Action Officer in the Provost's Office: ensure that the Rationale for the Position (Part 1, above) is attached.
